As a funeral celebrant I will ask for personal information so I can carry out my work. Confidentiality is of the greatest importance in my work and the way I will manage your information is covered by GDPR legislation

Who am I?

My name is Dr Helen Seaman. I am a civil funeral celebrant and I create bespoke funeral ceremonies that reflect the wishes of the deceased and their family. My company email address is info@patchworkfunerals.com

Data Processing Summary Statement (fair processing notice)

I will collect certain information from persons arranging the funeral including the family of the deceased. I may also collect information relating to individuals contributing to or mentioned in the ceremony. Further, I may receive personal information sent by email or through this website’s contact form.

Why do I need this data?

I will use the personal data I collect to:

  • Contact and meet with you regarding the arrangements for the ceremony
  • Prepare the tribute to the deceased
  • Keep details of the ceremony on file in case you need additional copies in the future
  • Complete my tax and accounting records
  • Request feedback from you on my services and performance.

Who might I share your information with?

I will only keep personal information supplied for the purpose of creating the funeral ceremony.  All information will be treated as confidential and will only be shared with other funeral professionals who are directly involved in delivering the kind of funeral you have chosen, unless I have your written permission to share specific details with other named persons or organisations.

My invoicing and accounting records only contain the name of the deceased in reference to the ceremony for audit purposes.

How is your data stored?

I will securely save any personal data electronically on an encrypted and password protected storage system. I will keep secure any paper-based information and notes while they are needed.

How long do I keep your information?

After the ceremony I will return any paper-based material you have provided and destroy any notes I have taken.  I will maintain electronic financial records for a minimum of seven years after the ceremony after which they will be permanently destroyed.  I will keep a copy of the presentation made at the funeral for a maximum of seven years.

Your rights

At any point whilst I hold your data you have the following rights:

  • Right of access – you have the right to request a copy of the information I hold about you
  • Right of correction – you have the right to correct data that I hold about you that is inaccurate or incomplete
  • Right to be moved – you have the right to have the data I hold moved to another service provider
  • Right to prevent direct marketing – I will not contact you in the future unless I have your permission to do so
  • Right to prevent automatic decision-making and profiling – I do not carry out automated processing or profiling
  • Right to be forgotten – you can ask for your personal data to be erased from my records (I can decline if records are needed for legal obligations)
  • Right to complain – see below.

Please note that the above legal rights apply to the personal data I hold about you as a living person, rather than any data relating to the deceased.

How to Complain

In the event you wish to make a complaint about how your personal data is being processed by me, or how your complaint has been handled, you have the right to lodge a complaint with me or directly with the Information Commissioner’s Office.
